Direct digitization

With direct digitization, the content of a shipment is recorded directly when the shipment is captured with a document scanner or camera and saved as a PDF file for the shipment. or a camera and saved as a PDF file for the shipment. This function is available in all capture modules.

License

The function requires a "CodX PostOffice Digitization" license. If this is not available, the scanner icon is not displayed. displayed.

Inbox (MS/OS-IHS)

Digitizing items in your inbox saves you valuable delivery time.
At the same time, the opening rules are always adhered to in accordance with the recipient's specifications.
CodX PostOffice offers the simple digitization of items in the inbox, completely integrated into the overall process.

The behavior of the direct digitization is controlled by the selection of the receiver.
For persons and cost centers the behavior can be defined, for logistic units (as receivers) the function is not available.
The settings are made in the Digitization tab of the corresponding detail dialog.
The physical delivery of the shipment and the notification of the recipient can be configured for a validity area and certain services. recipient can be configured (see Digitization Assignment Detail).

If direct digitizing is configured for the selected receiver, the scanner icon is displayed with a red scanning area. red scan area is displayed. Routing

The physical shipment will be sorted/delivered based on the setting defined above.

• "Normal Delivery":
  The district of the item is determined by default based on the recipient's logistics unit and the rules for deputies and P.O. box facilities. determined.

• "Annihilation."
  The shipment is sorted into the corresponding district based on the configured "Logistics unit for destruction".
  It is not delivered but is to be destroyed. The destruction must be documented separately (e.g. with the module event entry module).
  The rules for deputization, mailboxes, etc. are not executed.

• "Archiving:
  The shipment is sorted into the corresponding district based on the configured "Logistics unit for archiving".
  It is not delivered but must be archived. The archiving must be documented separately (e.g. with the Event Entry module).
  The rules for substitution, mailboxes, etc. are not executed.

The configuration of the logistics units for destruction/archiving is carried out under Settings / Production in the"Digitization" tab. Digitization" tab.
The currently set district structure is used for the district search. If you are working with several carrier route structures, you must define a a carrier route must be defined for each carrier route structure for these logistics units.

Notification

The notification of the recipient is based on the setting in Digitization Assignment Detail:

• "No notification:
  The recipient will not be notified.

• "Notification by EMail"
  The recipient is informed by e-mail. The email contains the digitized content of the shipment (PDF file) as an attachment.

Outgoing mail (MS/OS-AZD)

The behavior of the direct digitization is controlled by the "Digitization AZD" setting in the Capture defaults.
It can be useful, for example, to make the digitization dependent on the set power.

• "No digitizing": The function is not available, the scanner icon is not displayed.

• "Optional digitizing": The function is optional, the scanner icon is visible (scan area blue).

• "Mandatory digitization": The function must be executed, the scanner icon is visible (scan area red).
  When saving the shipment, the scan dialog for capture appears automatically.

Clicking on the scanner icon opens the scan dialog. Basically this is only necessary with the setting "optional (with "mandatory" the dialog will be opened automatically). The red scan area of the scanner icon serves as information, so that the letter can be opened can be opened before saving.

The shipment itself is sorted/delivered normally, there is no redirection to a special district.
