FA Invoice Client

The settings for the FA invoice client are divided into several tabs.(#eInvoice)

When closing the settings dialog, the system checks whether all necessary definitions have been made and warns accordingly. This is mainly about settings for eInvoices. (See eInvoice settings)

General

  • Name
    Name of the billing client

  • Service provider
    Select the delivering service provider

  • Report configuration
    Select the report configuration to be used
    This defines the general information to be printed on the invoice. In addition, it defines the contents of the report headers and footers.

  • Advertising message
    Here you can specify any (promotional) message to be printed on the invoices.

  • Default
    Select this checkbox if this configuration is the default client.

  • Create invoices as PDF
    Select this checkbox to create the invoices as PDF.
    For eInvoices of ZUGFeRD format, a PDF will be created in any case after closing the invoice.

  • Sort invoice items by
    Here you can define the sorting of the invoice items in two hierarchy levels.

  • Customer advisor
    Here you can enter an employee as a general account manager.
    You can also define a customer service representative type.
    These settings are currently only taken into account for eInvoices.
    On an eInvoice, information about the account manager must be entered (the name, the telephone number (business or mobile) and an e-mail are required).
    Determination of an account manager is done as follows:
    1. an existing account manager is searched for (in the customer management) with the type set here.
    2. if none was found, the employee defined here will be used.

  • Creditor ID (Available only if a SEPA license is available).
    Enter here the creditor ID you have received from the registration office. If they assign the same creditor ID to several FA invoice clients, they will only be notified of this.

  • Invoicing party (only available if a SEPA license or eInvoice license is available).
    Enter an address (creditor data) here that is to be transferred to the SEPA mandate in each case.

  • Address data (not available if a SEPA license or eInvoice license is available).
    This field is currently not required.

eInvoice

  • Currency
    You enter here the currency code for eInvoices. (ISO 4217 Alpha-3)
    e.g: CHF or EUR
    ATTENTION: This concerns only the currency information for the eInvoice. No currency conversion takes place, nor can multiple currencies be used.

  • Attachments in eInvoices
    Attachments (invoice PDF or invoice detail PDF) are included in the XML file as an attachment.
    You define here which PDF will be included in the XML file.
    These settings can be overridden by the customer specific settings. (Customer management tab eInvoice)

  • Submit cancellation invoice as credit note
    There are eInvoice portals where cancellation invoices cannot be submitted(code 384 in BT-3). Here you can define that cancellation invoices are submitted as a credit note(code 381 in BT-3).
    This setting can be overridden by the customer specific settings. (Customer management tab eInvoice).

eInvoice e-mail

  • E-mail server setting
    Here you define if the default system settings should be used for this FA Invoice client or if you use specific settings per FA Invoice client.
    This is especially important if several FA invoice clients with sender e-mail addresses of different domains are used. The settings can be made directly by clicking the Settings button. In the Settings dialog you will find the necessary explanations under Help.

  • Sender e-mail
    This email address will be used to send the eInvoice. (Only one)

  • Error e-mail
    If errors occur when sending the eInvoice, an error email is sent to the email addresses defined here. Multiple email addresses can be separated with semicolons (;) or commas (,) or spaces ( ).
    An error e-mail is not sent during the test.
    A separate subject and text can be entered for the error e-mail. To do this, click the Error e-mail button and enter the subject and text.
    Additional variables are available for the error e-mail. On the one hand the error text so that one is able to localize the problem and on the other hand the e-mail metadata.
    The email met adata contains: Sender, Recipient, Cc, Bcc, Attachments, Subject and Text. If the error happens in connection with the attachment, the attachment will not be added.
    If you now receive an error e-mail, you are able to deliver the eInvoice again based on the e-mail metadata. To do this, forward this error e-mail, but before sending it, take over the original values from the e-mail metadata.

  • Bcc
    Bcc e-mail addresses can be specified per FA invoice client. All eInvoices are additionally sent to this Bcc e-mail address. This can be used for checking or archiving the invoices. Multiple e-mail addresses can be specified separated with semicolon (;) or comma (,) or space ( ).

E-mail

  • Subject
    This subject is used if no subject is stored for the eInvoice at the customer. The subject line can contain variables. (See Email Variables)
    You enter the subject in the eInvoice e-mail template dialog, where you can select variables. To do this, click the button to the right of the subject field.

  • Text
    This e-mail text is used if no e-mail text for eInvoice is stored at the customer. (HTML fragment of the e-mail text) The e-mail text can contain variables. (See E-mail variables)
    You enter the text in the eInvoice e-mail template dialog, where you can select variables. To do this, click the button to the right of the text field.

  • File name (without extension)
    Here you define the file name of the eInvoice that will be attached. Variables are available for this purpose, which are then replaced by the corresponding value. (Customer name, Customer UPOC, Customer number, Invoice UPOC, Invoice number, Invoice date) The extension (.xml or .pdf) is added depending on the format when generating.

eInvoice-Avis

An eInvoice Advice is an eMail, which can additionally be sent to a specific distribution list.

These settings can be overridden by the customer-specific settings. (Customer management tab eInvoice)

  • Subject
    This subject is used for eInvoice Advice. The subject line can contain variables. (See Email Variables)
    You enter the subject in the eInvoice Email Template dialog, where you can select variables. To do this, press the button to the right of the subject field.

  • Text
    This e-mail text is used for eInvoice-Avis. (HTML fragment of the e-mail text) The e-mail text can contain variables. (See Email Variables)
    You enter the text in the eInvoice e-mail template dialog, where you can select variables. To do this, click the button to the right of the text field.

  • Invoice PDF as attachment
    You define here if the invoice PDF will be sent with the eInvoice advice.

  • Detail invoice PDF as attachment
    You define here if the detail invoice PDF will be sent with the eInvoice advice.

  • Invoice file name (without extension)
    Here you define the file name of the payment advice invoice that will be attached. Variables are available for this purpose, which are then replaced by the corresponding value. (Customer name, Customer UPOC, Customer number, Invoice UPOC, Invoice number, Invoice date)

  • File name invoice detail (without extension)
    Here you define the file name of the payment advice detail invoice that will be attached. Variables are available for this purpose, which are then replaced by the corresponding value. (Customer name, Customer UPOC, Customer number, Invoice UPOC, Invoice number, Invoice date)

Error email

  • Subject
    This subject is used for the error e-mail. The subject line can contain variables. (See Email Variables)
    You enter the subject in the eInvoice Email Template dialog, where you can select variables. To do this, click the button to the right of the subject field.

  • Text
    This e-mail text is used for the error e-mail. (HTML fragment of the e-mail text) The e-mail text can contain variables. (See Email Variables)
    You enter the text in the eInvoice e-mail template dialog, where you can select variables. To do this, click the button to the right of the text field.

Email test

If you click this button, a dialog opens where you can define a recipient e-mail address and values for the variables. With Send an e-mail with attachment (PDF and XML) will be sent.

eInvoice export

The settings are also available per customer. The settings on the FARechnungsmandant are used, if no UNC path or file name is deposited with the customer.

Important: The export is executed by the service on the application server. This must be taken into account when specifying the UNC path.

For the Export transfer type, make the following setting:

  • UNC Path (See UNC Path)
    If the eInvoice is exporited, it is automatically stored in a defined directory. The destination directory can be completed with variables. (Customer name, number and ext. number). Subdirectories are created if they do not exist. This UNC path is used if no UNC path is stored at the customer.

  • File name (without extension)
    The file name of the eInvoice file can be supplemented with variables, which are replaced by the actual value. (Invoice number and invoice date) The extension (.xml or .pdf) is added automatically depending on the format. If a file with the specified file name already exists in the corresponding target directory, it will be overwritten. This file name is used if no file name is stored with the customer.

  • Script (optional)
    The script can be used to perform specific tasks for further processing of the target file (e.g. filing in DMS, transfer to workflow system, etc.). This script is used if no script is stored at the customer. These scripts are specific and are usually developed by CodX on a job-by-job basis.
