LS - LetterShop settings

Global settings

The following settings apply system-wide for the entire CodX PostOffice instance.

IHS OCR mode
If activated (recommended setting), the search algorithm dynamically decides on the best hit from all individual search terms.
If inactive, the individual search terms are permanently linked to each other (logical AND) and the search must result in exactly one hit for a recipient to be assigned. This setting can make sense in special cases.
Note:This option is only available if LetterShop is running in InHouse mode, i.e. if the IHS license is activated.

Directory for IHS billing file
A special file is then created which contains certain totals of all mailings. This is copied to the specified directory and sent back to the customer together with the LetterShop export file created.

IHS settings
This button opens the CustField editing dialog. It contains all IHS settings that can be used to search for persons/cost centers and/or logistics units. These settings apply to all, but can be overwritten per partner.

LetterShop web interface active

You can use this setting to activate or deactivate the web interface for LetterShop. The web interface is deactivated by default; this also applies after an update from a version prior to V2024.02.00.

Please note that the activation of the LetterShop web interface is not secure, we recommend that the web interface is only activated in a secure environment.

District allocation/reporting for Lettershop mailings (activate Lettershop mailings)

Here you can define whether the districts are to be adopted or redetermined at goods receipt.

When goods are received, closed districts and overflow districts are also processed at the same time, regardless of this. The maximum quantity for bulk import is used. All known strategies for overflow areas are applied (overflow areas / planned delivery date). The strategy can be stored in the WE (settings).
You can also define which consignments are to be displayed on the Manual re-sorting report (19292).

A distinction is made between:

  • Shipment without district allocation

  • Shipment with an invalid district (district has been deleted in the meantime)

  • Shipment with valid district

Select the recalculation for the district:

  • Determine new district: The district is redetermined based on the address data.

  • No need to determine a new district: The district is simply adopted at goods receipt.

  • Delete district: No district is saved.

  • Change district only if new district found: The new district is determined based on the address data. If no new district exists, the original district is adopted.

  • Delete district if new district exists: The district is redetermined based on the address data. If the district found does not correspond to the original district, no district is saved.

Selection for report:

  • Shipment always on report: The shipment is always output on the report.

  • Shipment never on report: The shipment is never output on the report.

  • Consignment only on report if no district found: The shipment is only output on the report if no district is saved.

  • Consignment only on report if new district found: The shipment is only output on the report if the district found does not correspond to the original district.

Settings Capacity limit

You can use this option to determine how the consignments are to be saved if a maximum consignment quantity for a district is reached.
You have the choice between the following options:

  • Consignments are assigned to the defined district
    The consignments are assigned to the corresponding district regardless of the maximum quantity.

  • Additional consignments are assigned to the overflow district
    All consignment quantities that are to be recorded above the maximum quantity are recorded in the assigned overflow district. With this setting, you can also specify whether an additional E+x should be added to the planned delivery date.

  • Distribution takes place on several delivery days
    Excess consignment quantities are recorded on further delivery days so that the maximum quantity is not exceeded.

  • Only assign complete mailings to overflow districts
    All mailings are recorded in the assigned overflow district if the maximum quantity is reached.
    If this option is selected, the entire LetterShop processing procedure changes: All incoming files are collected and processed at the set time; not immediately as usual. This means that the quantities per district and planned delivery date can be totaled for all items received on one day and, if necessary, posted to an overflow district. All files received during the course of the day are then completed and sent back to the respective sender.

  • Processing time
    The incoming LetterShop files are processed at this time.
    This option is only available if "Only assign complete mailings to overflow districts" is selected.

Bulk consignment quantity
Here you specify whether the consignment quantity is counted as bulk or as a normal consignment quantity.

LS-Partner

Any number of LetterShop partners can be defined for each LetterShop server, each of which has its own connection settings. LetterShop partners are managed using the buttons on the right-hand side:

Add Adds a new letterShop partner.
The detailed dialog for entering/editing a letterShop partner is displayed.
Edit Edit an existing LetterShop partner.
To do this, select a LetterShop partner in the list. You can also use this function by double-clicking on the corresponding list entry.
Delete Deletes an existing LetterShop partner.
To do this, first select the LetterShop partner to be deleted in the list.
Reload Rereads all LetterShop partners entered.
This can be useful if a LetterShop partner has been newly entered, edited or deleted on another workstation in the meantime.

Each LS partner has its own settings. This also applies to the directories.
