Settings digitization

In this dialog, all relevant settings required for digitization can be set.
Changed settings must be explicitly saved with the "Save" button, otherwise they will be lost.

Operation

To set the logistics unit for archiving, destruction and digitization, call up the logistics selector using the "..." button next to the display field and select the corresponding logistics unit. The name of the selected logistics unit is displayed in the display field.

Settings

Designation Description
120: Save searchable PDF The PDF is saved in a format that can be searched with a text search. This takes more space and time when creating the PDF.
125: Convert images in PDF to JPEG If enabled, then all images in the PDF will be converted to JPEG format. This reduces the size of the PDF file.
Recommended default value: enabled
126: Image quality (if JPEG) Determines the JPEG quality level. All integers between 1 and 100 are allowed.
Recommended default value: 20
127: Change size of images in PDF If activated and also setting 125 is activated, then all images will be reduced or enlarged according to setting 128. If images are reduced, this reduces the size of the PDF file.
Recommended default value: enabled
128: Resize in percent, if size of images is to be changed Determines the resize in percent the images are reduced or enlarged.
Recommended default value (for original scan 300 dpi): 70
130: Processing separator sheets The following settings are available for selection:

- The images of the 1st page are not saved in the PDF.
- All images are saved.
- The 1st page images are not saved in the PDF. A separate PDF with the 1st page images will be saved.

If the scanner is set to dublex when digitizing, the first 2 images will be removed (i.e. the whole page) in the case of options 1 and 3, so that the printout is correct.
140: Format of saving scanned PDF documents via virtual scanner The following settings are available for selection:

- Save PDF after processing CodX PostOffice (A PDF is created from all scanned pages. The UPOC and the time of capture are displayed in the header).
- Saving the original PDF (The original PDF is saved; no header)
- Saving both PDFs
141: Resolution (DPI) for scanned PDF documents via the virtual scanner Defines the resolution (DPI) with which the PDF documents are converted to images.
Default value: 300
200: Label printing active during archiving Defines whether a shipment label is printed when archiving shipments.
210: Label printing active on destruction Defines whether a consignment label is printed when consignments are destroyed.
220: Label printing active on delivery Defines whether a consignment label is printed when consignments are delivered.
230: Label printing active with manual and automatic exception processing Defines whether a label is printed when exception handling is activated either manually or automatically.
300: Maximum temporary storage of the shipment in days Defines the maximum time for which items digitized with "Individual selection" remain in the temporary storage.
400: Follow-up process if the duration of the temporary storage is exceeded

Defines how to deal with shipments whose expiration date in the TemporaryStorage (above option Maximum Temporary Storage of the shipment in days) has been exceeded.
Possible options:
- Normal delivery
- Destruction
- Archiving

410: Confirmation e-mail after execution of digitization follow-up process If this option is activated, a confirmation e-mail is sent by 'you have mail' for each shipment that has gone through the follow-up process after digitization and has been completed. The same job as for the 'you have mail' message for the digitization follow-up process is used for this, but a separate message type.
500: Maximum document size in MB, if exceeded, exception processing becomes active. Value 0 = disabled Automatic exception processing is activated due to 2 events:
1. when the recipient's email address is invalid or empty.
2. if the generated digitizing document is larger than the MB defined here.

If this parameter is 0, exception processing will be activated only due to an invalid email address of the recipient.
510: Exception processing: physical delivery if no valid eMail address available If this setting is active, a check is made to see whether the item to be digitized has a valid recipient e-mail address. If not, exception processing is automatically activated.
600: Ignore blank pages during processing/saving If this option is enabled, scanned pages that contain a blank sheet will be ignored. That is, they are not processed/scanned and also not saved for transmission.
Default setting is disabled, i.e. process/save blank pages.
610: Save original images from scanner to database With this option you have the possibility to save all images that were delivered by the scanner as a special shipment image type in the shipment. This function is used to check if all images have been processed correctly. Please note that each page will be saved as an image in the shipment, in case of a dublex scan this will be 2 images each, the front and the back side. Please note that blank pages are also saved, regardless of whether the 600 option is activated or not.
620: Saving images during multiple scans This setting determines how to handle existing images on a shipment when it is digitized. The following options are available:
- Add to existing images
- Delete existing images

In batch processing this setting is the default, in single processing it can be selected or if the 621 setting is set to No, it is also the default.
621: Ask for storage of images in case of multiple scans in single processing' Y/N (Default: Yes) In the individual processing of the digitization, depending on the setting, a query for image storage is queried according to setting 620 if existing images are present on the transmission to be digitized.
