Digitization

In this dialogue, consignments can be digitised indirectly. This means that existing consignments are scanned again and prepared for the subsequent digitisation process with the digitisation consignment event. The prerequisite is that a consignment has already been correctly entered in the system.
The consignment UPOC can either be entered via the keyboard, scanned using a hand scanner or printed on one of the documents to be scanned.
After successful scanning of the documents, the recognized elements on the letter can be processed in a list if a mandatory or optional attribute is missing or invalid (e.g. invalid consignment UPOC).
The selection of image processing can be used to control which elements (e.g. consignment UPOC, alternative code, etc.) are to be recognised on the consignment.
In addition, sub-labels for consignments can be printed in this dialogue.

View

At the first position of the dialog is the input line for the consignment UPOC. This is followed by the scan dialog with the list of the determined attributes on the scanned documents. At the last position of the dialog is a status line, which displays information about the running process or errors during the digitization. Next to the input line for the shipment UPOC are the three buttons for the modes scan, label print or exception processing.

Operation

  • Consignment UPOC
    If you want to assign the documents scanned in below to a consignment, enter the consignment UPOC here or read it in using a hand scanner. If the consignment UPOC is available on the document to be scanned, you do not need to do anything else, it will be recognised automatically.

  • Scan
    When this button is pressed, the button color changes to green and the Scan or Digitize mode is active. This applies to single item processing. If the Stable Processing mode is active, this button is deactivated.

  • Label printing
    When this button is pressed, the button colour changes to green and the label printing mode is active. This means that each consignment UPOC that is entered or read in via a hand scanner triggers a sublabel printout. Afterwards, the mode automatically changes back to the scanning or digitizing mode, unless the label print was fixed with the activation box "Fix".

  • Exception processing
    When this button is pressed, the button colour changes to green and the exception processing mode is active. This means that every consignment UPOC that is entered or read in via a hand scanner triggers exception processing for this consignment. It is mandatory that the shipment is rebooked for physical delivery and, if activated, a label is printed out.
    Exception processing is always confirmed with a message dialog.
    Please note that exception processing is possible either in single scans of consignments or in batch processing. The criteria for recognizing whether a shipment is transferred to exception processing are the size of the generated shipment document and the e-mail address of the recipient. Set these parameters for recognition in the digitisation settings.

  • Fix
    With this activation box, the mode is fixed to the currently set mode, it also does not automatically switch back to the scan mode.

  • The operation of thescanner dialog is described in the corresponding help of the link. The process flow during scanning is also shown under Digitizing Process Flow.

  • Image Processing
    Select an image parser rule from the display list. All elements with the set image parser rule are searched.

  • Save
    Saves the transmission with the displayed attributes in the list and the scanned documents.

  • Save/Scan
    Saves the transmission with the displayed attributes in the list and the scanned documents, and automatically starts the next scan. The previously entered or scanned UPOC is discarded.

  • Cancel
    The data read in so far is discarded, no transmission data is saved (not available for batch processing!).

  • Save/Close
    Saves the transmission with the displayed attributes in the list and the scanned documents and closes the dialog.
    (Note: You will only see this button if the scan dialog is a separate window).

  • Activate Autoscan
    If this activation box is active, the next scanning process is started immediately after saving a transmission (no matter if manually or automatically). The scanner will then wait until one or more documents are inserted.

  • Batch processing
    If this option is activated, the documents will be scanned for digitisation, namely all those that are on the scanner. These scanned documents should each start with a consignment UPOC, so that the individual consignments can be separated. The processing and saving of the items happens in the background, the status about running jobs can be found in the information field below the list with the items.
    Please note that in this mode the input line for the consignment UPOC is locked, as this must be present on the scanned sheets.
    The setting on batch processing (whether it is active or not) is saved in the computer's registry and reloaded the next time CodX PostOffice is started, so the setting always remains the same.
    The exception handling detection works the same in batch mode, but it is mandatory to have the license for 'Individual Follow-Up Process Mail Capture IHS'.

Dialog processing

After the successful scan, all attributes found are displayed in the list. Elements which are optional and do not contain any values are displayed with a blue background color, elements which are mandatory and do not contain any valid values are displayed with a red background color. The mandatory entries must first be entered manually in the "Value" column, otherwise the transmission cannot be saved.
As soon as all required values have been entered or automatically detected by the scanner, the shipment can be saved. If the "Enable Autoscan" option is active, this will be done automatically.
If the consignment already contains consignment contents, a confirmation dialogue will ask whether the new consignment contents should be attached, if not, the existing ones will be deleted beforehand.

Shipments for which exception processing has been activated are posted directly to normal delivery.

Batch processing

After successful scanning, the system switches back to normal standby mode. Please note that batch processing only works if all elements in the selected image processing are not allowed to be mandatory and/or optional.

If errors occur during automatic processing in the background, the job is completed and the items that were processed correctly are saved. The others are displayed in an error dialog and can be reported as a support case. If there is already shipment content on the shipment, it will be deleted.

Shipments for which exception processing has been activated are posted directly to the preparation for the subsequent delivery process.
